      Hi everyone,

      I am taking on some new tour guides and looking for the best way for them to advise of their availability in a shared calendar scenario. I’ve been playing around with a shared Gmail calendar but it doesn’t work for everybody if they don’t have a Gmail account. Also tried a Google Sheet, which is OK but not great. Does anyone use / have a suggestion for an App or similar that they use for this purpose?

      Hi Lee-Anne,
      Deputy Deputy is one that I see mentioned often!

      I’m intrigued to know why you say that Google calendar doesn’t work for everyone if they don’t have a Google account. They don’t need a Google account to import a Calendar.
      If you are willing to share a bit more info I can provide some more tailored advice 🙂

      hi Lee-Anne – not used by everyone, but after much seraching, we use “when i work”, any email can be used, its an app and web based, they can block their availability too. We use it to roster and offer shifts with automated checklists for each tour type – they have a free version. ( it syncs w google calendar too)
      it doesnt link to our/any res system, and as we pay by tour (min rate not hourly rate) we are not able to synch with xero for now. but it works for the team

      We use When I Work too – but we still ask staff to manually enter their hours in the Xero Me app. Good to know it syncs with Google Calendar – I might look into that to see if we can get it to work better with our events – thanks Fiona!

      Thanks for your responses. I’ve decided to go with When I Work; it seems to good so far. I decided to take the paid version as it will allow me to push schedules out further than the two weeks allowed on the free version. For about $400 per year for up to 10 staff it seems to be quite good value. Easy to use, and my guides have come back to say they love it (already!!!) I think it’s going to save heaps of time, especially getting everyone’s availability in the one place.
